Invoice Generation and Management

Learn how auto payouts invoices are generated, reviewed, and confirmed before payouts are processed.

Tolt generates your auto payouts invoice based on your program's payout schedule. Your schedule can be set to NET-15, NET-30, or NET-60, or to a custom payout date agreed with our team.

How invoice generation works

Five days before your scheduled payout date, Tolt generates a draft invoice based on the payouts due for that period. The draft invoice is sent to the billing email configured in your auto payouts settings. During this period, you can review the payouts included in the invoice and make any necessary changes before confirming it.
💡Example: Your payout date is the 30th of each month, Tolt generates and sends your draft invoice on the 25th. You then have until the 30th to review it.

If you don't review or confirm the invoice during the five-day period, Tolt automatically confirms it on your scheduled payout date. The invoice then moves from Draft to Pending payment.

Understanding the collecting period

Before an invoice is generated, the Collecting period card on the Payouts page shows the estimated amount that will be included in your next auto payouts invoice. The amount updates as new commissions are recorded and shows which commission period is currently being collected. You'll also see the date when the invoice is scheduled to be generated.

💡Note: The total shown on the card is an estimate and may change before the draft invoice is created because the amount is still being collected.

View and manage your invoices

To view your invoices, navigate to Payouts and open the Invoices tab. At the top of the page, you can see your Outstanding balance, along with the total amount you've been invoiced and the amount you've already paid.

The table below shows your invoices, including the invoice number, amount, number of payouts included, and current status.


Invoices can have the following statuses:

Status

Description

Draft

The invoice is still within the review period. You can review the payouts included and make changes before confirming it.

Pending payment

The invoice has been confirmed and is ready to be paid.

Paid

Payment for the invoice has been received

Review a draft invoice

Open a Draft invoice to review its details before it is confirmed.


At the top of the invoice, you can see the total amount, the number of payouts, and the number of commissions included.

The Details section shows the invoice number, status, creation date, and currency.

The Amount breakdown shows the payout subtotal, applicable processing fee, and final invoice total.

Under Linked payouts, you can review each payout included in the invoice, including the partner, payout amount, creation date, and payout status. If a payout should not be included in the current invoice, click the bin icon next to it to remove it from the draft. The invoice total updates accordingly.

Once you've reviewed the invoice and everything looks correct, click Confirm invoice. After confirmation, the invoice moves to Pending payment and can no longer be edited as a draft.
